Administrative Assistant - Member Services

Temp-to-Hire | On-Site | Greenbelt, MD

Ultimate Staffing is partnering with a local Home Owner's Association in Greenbelt, MD to hire an experienced and personable Administrative Assistant (Member Services). This is a front-desk, member-facing position ideal for someone who enjoys helping others, staying organized, and supporting a busy administrative team.


Schedule & Pay

  • Pay Rate: $20-$25/hour (based on experience)
  • Schedule:
    • Monday-Thursday: 8:00 AM - 6:00 PM
    • Friday: 8:00 AM - 5:00 PM
    • Every other Friday off

Position Summary

The Administrative Assistant provides clerical, administrative, and member services support in a professional office environment. This role serves as the first point of contact for HOA members, volunteers, and guests, both in person and by phone. The position requires a polished demeanor, strong communication skills, and the ability to handle confidential information with discretion.


Essential Duties & Responsibilities

Front Desk & Member Services

  • Greet members, visitors, and vendors in a courteous and professional manner
  • Answer and route phone calls to the appropriate departments
  • Respond to general inquiries or direct members to proper resources
  • Maintain the reception area, information racks, and posted communications

Administrative & Clerical Support

  • Open, sort, and distribute incoming mail and process outgoing mail
  • Upload invoices and perform basic data entry
  • Process members' monthly dues
  • Perform physical and digital filing; maintain organized, compliant records
  • Maintain calendars of meetings and events
  • Track and restock office and stationery supplies
  • Provide administrative support to the Member Services, Maintenance, and other departments as needed

Meetings & Board Support

  • Prepare meeting rooms and Board rooms for scheduled meetings
  • Set up spaces for committee and special meetings
  • Maintain committee files
